## Finding your way

The left sidebar is the standing navigation and is grouped the way the work is
organised. **Interview Schedule** holds scheduling an interview, adding a
candidate, interview panels and completed interviews. **Meeting Schedule** holds
scheduling a meeting and completed meetings. Administration sits at the bottom
and is visible to administrators only.

The top bar keeps only what applies everywhere: **New** to start something, the
user manual, your account, and sign out. A room page hides the sidebar, because
a call should have the whole screen.

## Signing in

The sign in page names every active account and never shows a password. Sign in
with the email address listed there.

An account created for you by somebody else must set its own password before it
can do anything, because a password someone else chose is shared knowledge.

## Who can do what

The HR team appear to everybody else as **HR** rather than by name. Their real
account is recorded against every action in the audit trail, so which of them
scheduled or joined a session is always answerable.

## Passwords

Anyone changes their own from the person icon in the top bar. The current one is
required, so an unattended open session cannot take an account over.

An administrator resets a password from **Users**. They do not choose the value:
a generated one is shown once, and the holder must change it at next sign in, so
the administrator who reset it does not also know it.

## Meetings

**New** in the top bar is the one place anything starts, from any screen. It
offers **Schedule an interview**, **Schedule a meeting**, **Meet now** and
**Add a candidate**.

**Meet now** opens a room immediately. **Schedule a meeting** books one with a
time, a panel and invitations carrying a calendar attachment. When you pick the
date, a month calendar sits beside the field: click the day rather than typing
it, which is how a booking ends up on the wrong date.

Every meeting has a **link and a key**. Send both. The link alone lets nobody in,
because a link gets forwarded and pasted into group chats. Use **Copy invite** to
take them together.

A guest enters their name and the key, chooses whether to arrive with camera and
microphone on, and waits. The host sees who is waiting and how they are arriving,
and admits or refuses them.

**End and summarise** closes the room for everybody and retires the link.
Leaving is different: that is one person stepping out of a room that carries on.

The written record no longer waits for that button. It starts as soon as the
host stops recording, so a call whose host simply closed the tab still produces
its transcript and summary and still appears in the register. If nobody recorded,
the meeting page says so plainly rather than showing an empty space.

## In the room

- **Mute** and **Camera off** are available to everybody
- **Share screen** belongs to the host; a participant asks and the host allows
- Recording belongs to the host, as video and voice or as voice only
- While somebody shares a screen, the faces become a strip you can drag, resize,
  minimise to a bar or hide

## Interviews

Add the candidate and drop their CV: the name, email and phone fill themselves
in and stay editable. The category is the role applied for, which groups the
candidate pool.

### Booking one

New interview opens two panes. On the left is the candidate pool, grouped by
category, with a filter box above it. Nothing is chosen when the screen opens,
so an interview is never booked against whoever happens to be newest.

On the right, choose a panel and set the schedule. Every member of the chosen
panel is seated as a participant in one action. Date, time and duration are
three separate fields.

As soon as the interview is created the same screen shows the deck: the date,
the time, the duration, the panel link with the interview key, and the candidate
link. Copy them from there.

### The link and the key

A panel member has no account, so the staff room link refuses them. They arrive
on two things instead. The link is the address and gets forwarded. The key is
what you give the people who are meant to be there. Holding both still only
reaches the waiting room, and you admit them from the interview room, the same
way a meeting works.

Both are on the interview page as well, with a control to issue a new key.
Issuing one stops everybody holding the old key. Use it if the key has gone
somewhere it should not have. Invitations carry the right thing to each person:
the candidate gets the identity gate link with no key, the panel gets the link
and the key.

Creating the interview generates ten questions across three categories, each
tagged Simple, Medium or Complex and weighted 1, 2 and 3. Answers score 0 to 3,
points are score multiplied by weight, and a three, four, three split gives a 60
point maximum.

**Model output is advisory. The interviewer's rating is the rating of record.**
Nothing auto fills or overwrites a final score.

## The written record

After a recording is processed you get **who said what** with timestamps, a
summary, the decisions and a plan of action. Speaker names come from each
person's own audio track, so the speaker is known rather than guessed, and no
voiceprint is collected.

**Completed interviews**, **Completed meetings** and **All completed sessions**
in the sidebar list every session with its transcript and recording. Saving a
copy is limited to administrators, because a transcript carries everything
everybody said.

## Personal data

Recordings, photo identity documents and selfies are deleted a set number of days
after a session closes, under the Digital Personal Data Protection Act. The
hiring record itself is kept: scores, questions and the decision carry no
biometric data. Aadhaar is never collected.

Every view of an identity document, CV, recording or transcript is recorded in
the audit trail with who looked and when.

## If something does not work

The room reports its own failures on screen. If the call does not connect it
says why on the status line; send that line to whoever supports the system.

Model features fall back to a clearly labelled demo when no key is configured.
A fallback is always marked as one, and a transcript that no model has read says
so in as many words.
